Choosing a contractor is rarely simple. We want to show you what really happens after you leave a request on our website or socials – no mystery, just a clear, professional process.
1) When your request arrives (Receiving a lead)
Your inquiry is seen by a small team, not a single inbox. Four people monitor new requests and alerts in real time. Each person covers a specific area of Niagara and the GTA, so the manager/estimator closest to you picks it up. We respect your time, so we aim to respond within 5–10 minutes. That way, the details that caught your eye online are still fresh when we talk.
2) First contact & communication
Because we’re pros, we don’t guess – we ask questions! In a quick call or text, we gather the essentials to help you faster and better:
- Basics: your name, address, and whether you’re a homeowner or builder.
- Scope: what you’d like done (siding, soffit/fascia, gutters, capping, stone, etc.).
- Logistics: timeline, site access, and the best contact for decisions.
We then schedule a meeting. Our crews stay busy, but we keep our calendar flexible so the visit works for you. If anything unexpected comes up, we’ll let you know because your time matters.

3) The estimate visit: who comes and what we bring
We arrive as a pair. One is your manager/estimator (your main point of contact); the second is an estimator’s assistant – another set of eyes who helps with photos, measurements, and notes. We bring a sample kit with profiles, color decks, and options from top suppliers James Hardie, Roofmart, Kaycan, St. Catharines Building Supplies, ABC, Royal Building Solutions, and more. Seeing and touching real samples speeds up decisions and prevents surprises later.
The first 20 minutes on site – what we look for
- Measurements: wall lengths and heights; window/door openings; soffit lengths; fascia runs; porch and roof-edge details.
- Conditions: wall straightness; framing issues; rot or soft sheathing; insulation gaps; existing WRB/flashing; previous materials; access or safety constraints.
- Documentation: clear photos for estimating accuracy and to create visual renderings of your home’s new look.
The three questions that shape the entire scope
- Function – What problem are we actually solving?
Water getting in? Heat leaking out? Or purely cosmetic? If it doesn’t improve performance or stop damage, it’s optional – not essential. - Finish- What do you want to see and touch?
Profiles, textures, and colors (e.g., dark Hardie board-and-batten above; a warm wood look below). Clear preferences prevent “scope creep.” - Future – What should this look like in 5-10 years?
Maintenance level, warranty length, expandability (adding stone later, gutters, trims). If Future-You won’t care, it probably doesn’t belong in Today’s scope.
How to avoid paying for work you don’t need
- Ask for evidence, not opinions. Photos, moisture readings, WRB/flashing proof, soffit/vent counts, gutter capacity notes. No evidence = no upgrade.
- Climb the scope ladder slowly. Repair → partial replacement → full replacement. Escalate only if tests fail.
- Demand line-item clarity. Materials, labor, disposal, access, contingencies – split into Must-Fix vs Nice-to-Have.
- Reuse what’s sound. If trims, insulation or gutters are compatible and healthy, we integrate rather than rip out good parts.
- Use cost-per-year math. Total cost ÷ warranty years. A smaller repair with a solid 5-year guarantee can beat a flashy full redo on value.
- Spot red flags. “One-day price only,” “we don’t do repairs,” no diagnostics, no photos, vague allowances – walk away.
- Prefer green-flag process. Diagnostic walk-through, documented findings, 2–3 scoped options, written warranties, and clear next steps.
After we leave: what happens next
While you might be enjoying your evening at the local pub or watching the Toronto Maple Leafs, we’re actually working on your project. We:
- Compile measurements and photos into a precise take-off.
- Check supplier stock, lead times, and color availability.
- Verify compatibility with existing components to avoid unnecessary spend.
- Build two or three right-sized scope options.
- Prepare visual renderings so you can “see” choices before you commit.
- Draft warranties, maintenance notes, and a clean timeline.
The Exterior Xperts promise
Measure twice – scope and spend. We show evidence, separate needs from nice-to-have, and design a plan that protects your home and your budget. You’ll feel informed, not pressured and covered from first call to final cleanup.
What’s next: Part 2 – The Quote & Price “How much does it cost?”
We’ll unpack how your price is built – line items, allowances, upgrades, and any change orders—and finish with a quick cost-per-year check so you can choose the option that best fits your home and budget.
